Position Title: Receptionist, Office Administrator


To cover front desk and receptionist duties, general office administrative duties and document sales support.


Report to the Director, Business Operations. Work with Assistant to the President to ensure that phones are covered during normal business hours. Support needs of Program Directors related to committee meeting management.

Specific Responsibilities:

  • Front Desk and Administrative Duties:
    • Serve as front-line for RTCA. This encompasses all duties associated with the front desk/receptionist responsibilities:
      • In-person contact with visitors and committee members
      • Answer main office phone and transfer calls to staff as needed
      • Monitor and process general emails in a timely and professional manner
      • Maintain list of ‘frequently asked questions’
    • Provide backup coverage for President’s assistant:
      • Receive all incoming calls
      • Screen and direct calls to appropriate staff member
      • Record complete phone messages
    • Fulfill general office administrative responsibilities
      • Maintain staff workroom and both kitchens
      • Order supplies as needed
      • Process incoming/outgoing mail
    • Ensure meeting amenities are available for committee members and refreshed as needed.
    • Maintain the appearance and cleanliness of the reception area and conference facility. Report any required repairs to appropriate person.
    • Attend and participate in all required staff meetings.
  • Document Sales

    • Process all document orders.
    • Ensure fulfillment of all hardcopy document orders.
    • Maintain inventory of all paper documents.
    • Manage distribution of the RTCA Digest.
    • Respond to customer inquiries regarding document sales.
    • Other duties as assigned

Required Experience/Skills:

  • Experience answering phones and fielding questions.
  • Computer/internet experience a must
  • Team player, ability and willingness to learn new things
  • Excellent customer service skills
  • Effective oral and written communications skills a must
  • Excellent verbal and written skills
  • Experience working within a non-profit association a plus
  • Ability to work effectively and efficiently with minimal supervision against clear priorities and objectives
  • Ability to work well in a team environment as well as individually (self-directed)
  • Ability to manage priorities as well as maintain multiple ongoing projects simultaneously
  • Internet proficiency

Position Title: Internship Position

Background: RTCA, Inc. (RTCA) is working with the aviation community to advance the state of the nation’s air transportation system. RTCA is undertaking to facilitate the implementation of the FAA’s Next Generation Air Traffic Management System (NextGen) Program through community consensus building. To that end, at the request of the FAA, RTCA has established the NextGen Advisory Committee (NAC) and subordinate groups to forge industry consensus on a set of recommendation related to the implementation of NextGen. In addition, RTCA continues to manage numerous Special Committees, aimed at forging consensus on recommendations for minimum performance standards and guidance material documents, as well as numerous select groups to provide recommendations on investment priorities for improving the nation’s air transportation system. RTCA also offers Trainings on DO-178C, Supplements to DO-178C and DO-160G. 

Scope: The scope of this work includes support to the Program Directors and Vice Presidents in overseeing the work of the RTCA committees and all related support activities.

Personnel: Intern will provide support to RTCA to accomplish work defined in this SOW.

Requirements: While performing under this SOW, Intern will have access to a work area, computer and other facilities and supplies necessary to perform the activities specified in this SOW. Intern should be nearing completion of bachelor’s or master’s degree in technical, policy or aviation-related field. 

Activities & Deliverables: Intern will work with the Vice Presidents, RTCA Program Directors and staff as required to support the following activities:
  • General Support for federal advisory committees
  • Support Association Management System transition and subsequent website updates
  • Help/Support Training Program development, help in launching/marketing the course
  • Competitive/Complementary research regarding other Standardization Org. (SAE, ARINC, ICAO, EUROCAE, RTCA, ATSM, etc.) overlaps, gaps
  • Identify Special Committee members involved in other Standardization organizations and how they promote RTCA SC work
  • Monitor International/US ATM Events or others, relevant for RTCA

Duration: The internship will last one year or less.

Compensation: This is a paid internship, with pay to be determined based on qualifications.
